DRAFT, pending legal review. These terms describe how Doorkeeper intends to handle data. They have not yet been reviewed by an attorney and may change before the first client starts.
Privacy and data terms
Draft of October 21, 2026. Contact: john@getdoorkeeper.com · PO Box 141, Centereach, NY 11720
1. Who we are
Doorkeeper provides owner-communication support to property management companies (“you”). John runs Doorkeeper and is the contact for anything on this page.
2. Website visitors
This website doesn’t use cookies, analytics or advertising trackers, and has no forms. If you email us, we keep your email so we can reply. Our hosting provider may keep standard server logs (such as IP address and pages requested) for security.
3. Free Owner Trust Scan
We build a scan only when you ask for one, using only public information: your website, your public listings page, public city records where available, and statute text. We don’t log in to anything or contact your owners, tenants or staff to build it.
4. Data you send us as a client
- What: the scheduled reports you choose to email us (for example rent roll, work orders, vacancy, guest cards, lease expirations, move-outs) and the owner emails you forward. These can contain names, contact details, addresses, balances and messages of your owners, tenants and vendors.
- Read-only: we never ask for your property management software login, password or API key, and we can’t change anything in your systems.
- Purpose: only to produce your deliverables (the weekly brief, reply drafts, monthly update drafts and deadline list). We don’t sell, rent or share your data for anyone else’s marketing, and we don’t use it to contact your owners or tenants.
- Nothing sent for you: we never send emails, texts or other messages to your owners, tenants or vendors. You review and send every draft yourself.
- People and software: drafts and briefs are prepared with AI software and checked by a person. Only John and the service providers needed to run Doorkeeper (email, file storage and AI processing) handle your data. A list of those providers will be published here before the first paid client starts.
- Tenant screening and fair housing: Doorkeeper doesn’t screen tenants or communicate with applicants.
5. Retention and deletion (proposed)
We keep client data only while you’re a client. When you cancel, we delete your reports, forwarded emails and drafts within 30 days, unless you ask us to delete them sooner or the law requires us to keep something. You can ask for deletion at any time by emailing john@getdoorkeeper.com.
6. Security
Reports arrive at a private address used only for your account. Access is limited to the people and services above. If we learn of unauthorized access to your data, we will tell you promptly and explain what happened.
7. Your responsibilities
You decide which reports and emails to send us and are responsible for having the right to share them under your management agreements and applicable law. Statute dates in our deliverables come with citations for you to confirm; they are not legal advice.
8. Guarantee and billing
If Doorkeeper hasn't paid for itself in 90 days, you get every dollar back. To claim it, reply to any Doorkeeper email by day 97 of your paid plan and ask for a refund. Every dollar you paid for the plan is refunded within 10 business days. Billing, cancellation and the full guarantee terms are on the terms page.
9. Changes
We will post changes here with a new date and tell clients by email before they take effect.
— John, Doorkeeper
