Short answer
Reply to owners by the next business day at the latest, and the same day when you can: in Buildium’s 2026 Rental Owners’ Survey, 43% of owners expect a same-day response and 42% expect one by the next business day. Response time is the single most important measure owners use to judge their property manager, and poor communication is the #1 reason they switch (57%).
What “a reply” should mean
- Acknowledge first if you can’t solve it yet. Buildium notes that letting owners know you received the message and are working on it helps extend their patience.
- Give a next date. “The plumber is booked for Thursday; I’ll confirm the cost by Friday” beats “we’re on it.”
- Use their numbers. Quote the actual work order, rent amount or statement line so the owner doesn’t have to ask twice.
Fewer updates, faster answers
Owners don’t want constant noise. Most prefer non-urgent updates monthly, but when they ask something, they want an answer quickly (Buildium). A good rhythm is one planned monthly update plus fast replies to anything they raise.
How to hit a same-day standard without hiring
- Route owner email to one folder or label so nothing hides in a busy inbox.
- Check that folder at fixed times (for example 10 AM and 3 PM).
- Keep reply templates for the common questions: statement lines, repair status, vacancy updates, rent increases.
- Count, every week, how many owner emails waited more than one business day. The goal is zero.
Doorkeeper does steps 1–4 for you: a ready-to-send draft for every owner email the same business day, checked by a person and sent by you.
