Short answer
Rental owners most often leave a property manager because of poor communication: in Buildium’s 2026 Rental Owners’ Survey, 57% named it as the #1 reason they switch, ahead of declining service quality (54%) and lack of transparency (34%). To reduce owner churn, reply to owners quickly (43% expect a same-day answer and 42% expect one by the next business day), send a short plain-English update every month, involve owners in big decisions, and watch for owners who are going quiet or complaining before they send a termination notice.
The numbers
| Figure | Value | Source |
|---|---|---|
| Owners naming poor communication as the #1 reason to switch | 57% | Buildium 2026 |
| Declining service quality / lack of transparency | 54% / 34% | Buildium 2026 |
| Owners who say their manager delivers excellent value | 23% | Buildium 2026 |
| Owners expecting a same-day response / by next business day | 43% / 42% | Buildium 2026 |
| Average yearly unit churn / benchmark group | 19.5% / 9.6% | NARPM (2021 data) |
| Average revenue per unit per month | $222 | NARPM (2021 data) |
| Average unit acquisition cost | $1,666 | NARPM (2021 data) |
The Buildium survey covered 300 small-portfolio owners in March 2026, and Buildium sells property management software. The NARPM figures come from its 2022 Financial Performance Guide, which reports 2021 data. Both are the most specific published figures we found, not universal truths.
What that costs a 300-door company (estimate)
Going from the 19.5% average to the 9.6% benchmark keeps about 30 more doors a year (300 × 9.9%). At $222 per door per month that is about $79,900 a year in fees, and about $50,000 you don’t have to spend winning replacement doors at $1,666 each. This is our arithmetic on NARPM averages, not a measured result.
How to reduce owner churn
- Answer every owner email by the next business day, same day when you can. Response time is the single most important metric owners use to judge their manager (Buildium). If you can’t solve it yet, acknowledge it and say when you’ll be back.
- Send a short monthly update. Most owners prefer non-urgent updates once a month (Buildium). Explain the statement in plain English, list the work done, and give lease status. See what a good monthly owner update includes.
- Bring owners into big decisions early. Owners want a say in large repairs and renovations, tenant selection, and rent changes (Buildium). Surprises on maintenance costs damage trust fast.
- Watch for warning signs every week. Owner emails left waiting, repeated complaints about the same repair, a vacancy dragging on, an owner asking for documents or the management agreement, or an owner who has gone silent. List the owners showing any of these and act on the top few.
- Never miss a legal deadline. A late deposit statement or a short rent-increase notice costs the owner money and is hard to explain. See the Washington and Oregon deadlines.
- Measure it. Count doors lost each month divided by doors at the start (NARPM’s churn formula), and keep a short reason for each loss.
